Leads List

Getting to List

In order to view the Leads List you just need to click the “HQS CRM” button in the sidebar on the left side of the main page and this will take you to the Leads List by default.

When you click on the button you will be taken to a list like the one below:
By default, agents will see leads that are assigned to them and all New leads that haven’t been assigned to an agent yet. New leads have a status of “Open – Not Contacted” and when the lead is assigned to an agent, the status changes to “Open – Lead Assigned”.

Administrators can still see all leads available


To filter the Leads List, you can select the Type, Status, and Listing. By default all Leads will be shown.
The Type and the Status are static lists and the Listings is a dynamic list based on all listings related to all the Leads. The listings filter will filter the found records to show you only leads that are related to the selected listing. You can select any combination of these 3 fields and only records matching all 3 will be shown.
To clear the filters, click the “Clear Filter” button and this will reset any filters that was selected and show all Leads again.
To sort the list you click on the column of the field you want to sort by. The first time you click a column it will be in ascending order and clicking the column after that will toggle between ascending and descending.
There is a little arrow next to each column that will tell you which column is sorted and in which direction.

Searching for a Lead

To search for a specific lead then you can start typing in a word or part of a word in the search box in the upper right. It will constrain the list down to only ones that match your search when you press enter. Whatever you type can match to any column that you see in the list, such as name, agent, email address, etc.

The search is only within the filters you selected, so if you search for “na” and you have a filter of a Lead Type of “Buyer”, then you will find all records that contain “na” in any of the columns and they are a type of buyer.

To Edit the Lead

In order to edit the details of the lead you need to select the Actions button on the right and select “View/Edit Lead” for the appropriate lead you want to edit. You will be taken to the Lead Detail screen.

Another way to view the lead detail is by clicking on the Leads’ name.

To View the Resale Checklist

In order to view the checklist of tasks to do for the listing related to a specific lead you will need to select the Actions button on the right and select “Resale Checklist“. You will be taken to a different screen for the Resale Checklist.
You can only view the resale checklist to a listing if you are the Main Agent to a listing or if you are the Secondary Agent to the listing. If you need access to the resale checklist, you will need to have the listing agent or an Admin add you as a Secondary Agent if you aren’t one.

Deleting a Lead

If you want to delete an existing lead you will need to go to the actions menu for the lead and click the “Delete Lead” button.

Contacting a Lead

There are two buttons on the list to be able to make contact with a lead. One is a phone icon and will immediately make a phone call to the number listed using the built-in phone system. The message icon will send a text message to the number listed.

You can also click on the email address and you will be taken to a compose email screen to be able to send an email to the Lead.
