Company Directory

Getting to Directory

You can get to company directory by clicking on the book icon underneath the Main Title on any of the main modules.

Directory View

When you click on the button a new tab will open and will take you to a list like the one below:
This view shows all of the agents and administrators that are marked to show on the directory.

 

A checkbox called “Show in Directory” in the backend on the user record controls whether they show on the directory or not.

 

The role determines what category they show under on the directory.

Columns

  • Name – The first and last name of the user.
  • Last Login – The last time that this user has logged into the HQS CRM.
  • Email – The email address of the user.
  • CRM Phone – The Twilio phone number assigned to them in the CRM. This is the number that is used when you make phone calls from the website.
  • Cell Phone – This is the mobile number that the user has entered in their profile.
  • Action – There are a couple of buttons under this column to view the Call/SMS Logs for that particular user, including any voicemails.

Making Calls

To initiate a phone call with one of the staff, just click on the Phone icon next to the phone number and it will initiate a call with that person using your CRM phone number.

Sending SMS

To send a text to one of the staff, just click on the Chat Bubble icon next to the phone number and it will bring up the send message screen. Type out the message and upload image/video if any and then click Send.

Viewing Call Log

Under the action column on the far right is a View Call Log button which will bring up a history of all calls for that person in a dialog.

In the dialog, on the left side you will see a list of all calls that you have made to this staff person. The panel shows the person who you called, the phone number, and the date that the call was made, the status, as well as a part of the call notes.

 

The numbers underneath the panels will allow you to navigate between the pages when there isn’t enough room to view all of the calls. The calls are sorted by date sent, so by default you start on 1 which shows you the most recent calls and you can go to higher numbered pages to view older calls.

 

When you click on the panel, the details of the call will show on the right. These are essentially the same as on the left, except you can view all of the call notes.

Viewing SMS Log

Under the action column on the far right is a View SMS Log button which will bring up a history of all texts for that person in a dialog.

In the dialog, on the left side you will see a list of all messages that you have sent/received to this staff person. The panel shows the person who you texted, the phone number, and the date that the was sent/received, as well as the first few words of the message body.

The Sent/Received buttons on the top switches from viewing messages that you sent to the staff person or messages that you received from that staff person.
